Hartley Roofing ("Hartley Roofing," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you visit hartleyroofing.com (the "Website"), contact us, or become a customer, how we use it, who we share it with, and the choices you have.

By using the Website or providing information to us, you agree to the practices described in this policy. If you do not agree, please do not use the Website.

Who We Are

Hartley Roofing is a licensed roofing contractor based in Arkansas City, Kansas, serving Kansas and Oklahoma (KS License #23-008511, OK License #80007543). Our contact details are at the end of this policy.

Information We Collect

Information you give us. When you fill out a contact or estimate form, call or text us, email us, request an inspection, schedule work, or leave a review, you may provide:

  • Name, phone number, email address, and mailing or property address

  • Details about your roof, your property, and the work you are requesting

  • Photos or documents you send us, including photos of storm damage

  • Insurance carrier, policy, and claim information, if you ask us to help with a claim

  • Payment information, if you pay us directly (processed by our payment provider; we do not store full card numbers)

  • Anything else you choose to include in a message to us

Information collected automatically. When you visit the Website, our hosting platform and analytics tools automatically collect technical information such as your IP address, approximate location (city or region), device and browser type, operating system, the pages you view, how long you stay, the site you came from, and the links you click. This is collected through cookies, pixels, and server logs (see "Cookies and Tracking Technologies" below).

Information from calls. If you call a phone number listed on the Website or in our ads, the call may be tracked to tell us which marketing source it came from and may be recorded for quality and training purposes. [Confirm whether call tracking or recording is used. If not, delete this paragraph.]

  • Operate, secure, and improve the Website

  • Measure the performance of our advertising and understand how visitors use the Website

  • Comply with legal obligations, enforce our agreements, and protect our rights and the safety of our crews and customers

We do not use your information for automated decision-making that produces legal or similarly significant effects about you.

Cookies and Tracking Technologies

Our Website is built and hosted on Wix. Wix and the tools we use set cookies and similar technologies on your device. These fall into four groups:

  • Essential cookies that make the Website work and keep it secure

  • Analytics cookies, including Google Analytics, that tell us how visitors use the Website in aggregate

  • Marketing cookies and pixels, such as Google Ads and Meta (Facebook and Instagram) pixels, that measure our ads and may show you our ads on other sites based on your visit here [confirm which ad platforms are actually running]

  • Functional cookies that remember your preferences

When you first visit the Website, a cookie banner lets you accept or manage non-essential cookies. You can change your choice at any time using the cookie settings link on the Website. Global Privacy Control. If your browser or extension sends a Global Privacy Control (GPC) signal, we treat it as a request to opt out of the sale or sharing of your personal information for targeted advertising, to the extent required by applicable law.

Text Messaging (SMS)

If you provide your mobile number and agree to receive text messages from us, we may text you about appointments, estimates, project updates, and, with your express consent, promotions. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out or HELP for help.

Email Communications

Emails from us will clearly identify who they are from and how to contact us. Marketing emails include an unsubscribe link. You may also opt out by emailing danny@hartleyroofing.com. Opting out of marketing does not stop transactional messages about an active project, estimate, or invoice.

How We Share Your Information

We do not sell your personal information, and we do not rent or trade our customer list.

We share personal information only in these situations:

  • Service providers that help us run our business, such as our website host (Wix), email and calendar providers, scheduling and estimating software, payment processors, phone and text-messaging providers, and marketing and analytics vendors. They may use your information only to provide services to us.

  • Insurance carriers and adjusters, when you ask us to assist with a claim on your property.

  • Suppliers, subcontractors, and inspectors as needed to complete your roofing project, and manufacturers when registering a product warranty in your name.

  • Advertising and analytics partners such as Google and Meta, which may receive technical data (cookie IDs, IP address, page activity) through the pixels described above. Under some state laws this counts as "sharing" for targeted advertising, and you can opt out as described in "Your Privacy Choices."

  • Legal and safety reasons, when required by law, subpoena, or court order, or when we believe disclosure is necessary to protect our rights, our crews, our customers, or the public.

  • Business transfers, if Hartley Roofing is sold, merged, or reorganizes, in which case your information may transfer to the successor business.

Your Privacy Choices

Regardless of where you live, you may:

  • Access the personal information we hold about you

  • Correct inaccurate information

  • Delete your information, subject to records we must keep for legal, tax, warranty, or insurance purposes

  • Opt out of marketing emails and texts at any time

  • Opt out of targeted advertising cookies through the cookie settings on the Website or by sending a GPC signal

  • Receive a copy of the information you provided to us in a portable format

Residents of California, Colorado, Connecticut, Texas, Virginia, and other states with comprehensive privacy laws may have additional rights under those laws, including the right to appeal a decision on your request. As a small local business we may fall below the thresholds that make some of those laws apply, but we honor the requests above for everyone. If you believe we have not handled a request properly, you may contact your state attorney general.

Residents of the European Economic Area or the United Kingdom have the rights described under GDPR, including access, rectification, erasure, restriction, portability, objection, and the right to withdraw consent and to lodge a complaint with a supervisory authority. Our legal bases for processing are performance of a contract, our legitimate interests in running and marketing our business, your consent where we ask for it, and compliance with legal obligations. Our Website is intended for a US audience and we do not target EU or UK residents.

Data Retention

We keep personal information for as long as needed for the purpose it was collected, then delete or de-identify it. As a general guide:

  • Inquiries that do not become a job: up to [24 months] after last contact

  • Customer and project records, including photos, contracts, invoices, and warranty documentation: for the life of the warranty plus the period required by tax and business record laws, typically seven years

  • Insurance claim documentation: for the duration of the claim and any related dispute period

  • Website analytics data: per the retention setting of the analytics tool, currently [14 months] for Google Analytics

  • Marketing lists: until you unsubscribe or become inactive

Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (TLS/HTTPS) connections on the Website, access controls on our systems, and reputable third-party providers. No method of transmission or storage is completely secure. Please do not send sensitive information such as full payment card numbers or Social Security numbers by email or text.

Children

The Website is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us at danny@hartleyroofing.com and we will delete it.

Third-Party Links

The Website may link to other sites, such as review platforms, manufacturer sites, and financing partners. Their privacy practices are their own; please review their policies.

Changes to This Policy

We may update this policy from time to time. The effective date at the top shows when it was last revised. If we make material changes to how we handle personal information, we will post a notice on the Website and, where appropriate, contact you directly.
